Start now, and why the calendar matters
If you want a finca for a December group stay, begin this week. Our Christmas and New Year guide describes the season: the traditions, the demand and the price pressure. This article is the other half, a dated checklist you can follow from Monday 12 October 2026.
The plan assumes a group of roughly 6 to 20 people, a stay somewhere between 16 December and 3 January, and a booking made through a conversation with an owner or operator rather than a checkout button. Adjust the weeks if your dates are earlier or later. The order of the steps matters more than the exact dates.
Week of 12 October: decide the non-negotiables
Before anyone looks at photos, settle four things with the group in writing:
- Dates and flexibility. Exact nights you want, plus the nights you could shift by a day or two.
- Headcount. A confirmed number and a maximum. Owners price and set rules by guests, and day visitors often count too.
- Climate and zone. Hot pool weather, cool mountain air, or lake views. Our region comparison helps narrow this.
- Who decides. One organizer with authority to say yes. Group chats do not close bookings.
Also agree on what the group will accept as a trade-off. If the dream property does not exist on your dates, would you rather move the dates, shrink the group or change the zone? Deciding this now saves a week of arguing later.
Week of 19 October: send your brief and start the shortlist
Write a short brief: dates, number of people, ages (children and older relatives change what works), zone preferences, must-haves such as a private pool, bedrooms that fit the group, and whether you need a mayordomo who cooks. Then send it.
You can send it to owners you already know, and you can send it through our free match request. It goes to up to 3 participating finca operators who reply to you on WhatsApp, with no obligation on your side. Send it early in the week so replies come in before the weekend.
While you wait, build your own list of 4 to 6 candidate properties. Ask each one the same opening question: "Is this property free for these exact nights, for this many people?" A clear yes, no or "let me check" tells you more than a gallery of photos.
Week of 26 October: compare in writing
This is the week to move from "available" to "what exactly am I getting". For each shortlisted finca, get these answers by message, not by voice note:
- The exact nights, check-in and check-out times.
- Minimum stay during the holiday period.
- Maximum guests, including day visitors, and the rule for extra people.
- What the rate includes: mayordomo, cleaning, linens, gas, firewood, pool upkeep.
- Special rules for Christmas Eve and New Year's Eve, such as music cut-off times and extra staff.
- The payment schedule and the cancellation terms.
Our scam-prevention guide is worth a read before you pay anything. Seasonal demand is when fake listings and rushed deposits thrive, so check that the person you are paying is the person who controls the property.
Note that 31 October to 2 November is a long weekend (All Saints moves to Monday 2 November), so expect slower replies from some owners.
Week of 2 and 9 November: choose, then confirm
Aim to choose by the second week of November. Compare your finalists on total cost, not nightly rate: add groceries, transport, the mayordomo's tip and any holiday surcharges. Our true cost breakdown shows how the extras stack up.
Then ask for a written confirmation. It should name the property, the dates, the guest limit, the total, what has been paid and what remains. Keep it somewhere every organizer can find it. If an owner is reluctant to confirm in writing, treat that as information.
Week of 16 and 23 November: pay and lock the details
The week of 16 November includes another long weekend (the Cartagena Independence holiday moves to Monday 16 November), so do not leave payment to the last minute before it. Pay according to the agreed schedule, to the account name you verified, and save every receipt.
Then collect the group's money and commitments. Ask each household for a confirmed headcount, any dietary restrictions, mobility needs and how they are traveling. Before money moves, make sure the written confirmation answers who is paid, what the payment reserves and what happens if plans change.
Week of 30 November and 7 December: logistics
Now the stay becomes a practical project:
- Groceries and meals. Send the mayordomo your menu ideas and quantities. See how the mayordomo works and what is customary for tips.
- Transport. Decide who drives, who rides and who arrives by daylight. Rural roads are no place for a late arrival; our transport guide covers the options.
- Rooms. Assign beds before arrival so the first hour is not a negotiation.
- Rules. Share the owner's rules on noise, pool use and fireworks with every adult.
The 7 December candle night and the 8 December holiday are busy on the roads and in the supermarkets, so shop early if you are traveling that week.
Week of 14 December: reconfirm and plan the arrival
Three days before you leave, reconfirm with the owner: arrival time, a location pin, a phone number for someone who will actually answer, and the balance payment method. Bring cash for the mayordomo's tip and small purchases, since rural areas may not take cards or transfers.
Pack a short backup plan too. If the plan falls through, who is the first person you message, and what is your Plan B zone? Having an answer ready is what separates a minor hiccup from a ruined holiday.
Starting later than this? Read what you can still get if you start late. And if your group wants to see in the new year at the finca, plan the night with our New Year's Eve guide.
